Customers
A customer is any person or company you do business with — or might do business with. Someone who fills in your website form becomes a customer right away rather than sitting in a separate list, so their whole history lives on one card from the very first contact.
The customer list
The list opens on the columns you need to recognise someone: company, email, phone, address, postcode, town, country and lead type. Anything else the customer holds is one click away in the column picker above the table, and your choice is remembered.
The customer page
Open any customer and you'll find everything in one place:
- Details — contact info, VAT number (checked against the EU VIES register for you, and on demand with Verify inside the field), payment terms and a personal discount.
- Health badge — a colour-coded status Voltane works out for you, see below.
- Invoices & offers — every document you've ever sent them.
- Notifications — the messages Voltane sent about this customer, such as the alert for a new contact-form message. Open one to read it in full.
- API submissions — website form submissions that came in for this customer, with everything the form carried.
- Addresses & contacts — multiple addresses (billing/shipping) and contact persons, each with their own language.
- Portal link — a ready-made link to their personal customer portal you can share directly.
Editing addresses and contacts
Select an address or contact card to edit it in a window on the customer page. To add one, choose Add Address or Add Contact under Default, Billing, or Shipping. The type or role is already selected for you. New addresses use the country from the customer's main address, and new contacts use the customer's language. Without a main address or a customer language, Voltane uses your team defaults.
Choose Save to apply your changes and return to the updated customer page. If anything needs correcting, the window stays open and shows a message beside the field. Choose Cancel or close the window to discard unsaved changes. Email addresses and phone numbers on contact cards let you contact someone directly.
Contact persons can be unlinked from a customer as well as added. Unlinking keeps the person in your contact list — handy when someone moves to another company — and if you unlink the primary contact, the next one takes over automatically, so a customer is never left without one.
Adding a customer
Two ways to start, both from New customer:
- Simple — one short form. Enough for most customers.
- Advanced — a guided flow: details, address, primary contact, review.
Click anywhere on a mode card to start. Cancel in the simple form or the first wizard step returns to mode selection, as does Change mode. Unsaved entries are discarded. The advanced flow saves each completed step, so any customer, address or contact already saved stays available.
While you type a name, email address or VAT number, Voltane quietly checks whether you already have that customer and shows a warning with a link to the existing record. It's a heads-up, not a block: two branches of the same company are perfectly normal, so you decide.
In the guided flow, the primary contact defaults to the same details as the customer — you only fill the form in when the contact is genuinely someone else. And the address step asks for one address; billing and delivery addresses are added later from the customer page, if they ever differ.
Addresses in your own language
Country, province and city are picked from a worldwide reference list. That list stores one name per place, and it isn't always the name you'd use — the province of Noord-Holland is filed as "North Holland", Luik as "Liège", Den Haag as "The Hague".
Voltane now shows them the way you write them. Set your language to Dutch and the pickers read Noord-Brabant, Wenen, Toscane, Luik and Den Haag, and searching works in Dutch too: type "noord" to find the two Noord provinces, or "haag" to find Den Haag. You can also search in another language and still get the result in yours: with Voltane in Dutch, typing "netherlands", "Niederlande" or "north holland" finds Nederland and Noord-Holland. Switch back to English and the same address reads North Brabant, Vienna, Tuscany, Liège and The Hague. Nothing about the address itself changes — only how it's shown to you.
Places whose name is the same in both languages — Groningen, Limburg, Bremen, Dublin — simply stay as they are.
Printed invoices are the exception, on purpose. The address block on a PDF is a postal address, so it keeps the local spelling — Köln, Liège, The Hague — because that's what gets the envelope delivered. Only the country is written in your own language.
Customer health
Voltane derives a health status automatically — you never set it by hand:
| Badge | Meaning |
|---|---|
| New lead | No business yet — early days. |
| Active | Invoiced in the last six months. |
| At risk | You've done business before, but it's been quiet for 6+ months. |
Health is a column like any other: add it from the column picker, sort on it, or narrow the list to one value from the filter panel — the same way you filter every other list in Voltane.
Separately from health, every customer has a manual lead type (cold / warm / hot) that you control yourself.
